How to Staff your New Cloud-Based Accounting System in 2022

How to staff correctly for your new Cloud Based Accounting system is self-evident to me. The way I see it is do not use someone who is not fully conversant with the use of a smartphones to upload your documents on your new AI system and then only let a qualified person connect and link your AI system with your Cloud-based accounting system. The setup of the AI system and the Cloud based accounting system is so important because if these two do not know how to link, then you are going to have a huge mess. I am constantly getting clients where they have someone with a basic knowledge of bookkeeping but do not know the system and make a huge mess and it costs the client a lot more to pay for a fix than it would have been to contract out the work in the first place. Choosing the right person is fairly easy and you may find someone younger is better than a person of age for the uploading of information as they know their way around smartphones. The installation and linking of accounts should be contracted to a professional. 

 How to get the right person 

When it comes to working on a cloud-based accounting system, please don’t use the person who costs you the least in salary terms. It may cost you a lot more in the long run if you use someone who does not know what they are doing and does not really have any interest in your accounting system. I saw a client who felt his receptionist was underutilized try using her to run and reconcile his Accounts Receivable and Accounts Payable. Money was not coming in on time and suppliers were not delivering due to non-payment. So, it would be best to contract this function out or at least find someone with some knowledge on the subject in your organization. We may be automating, but there is still some human interaction needed. 


It is always best to have some external party checking your staff till they are proficient in what they must do. Rather be safe than sorry and don’t be penny wise and pound foolish.
